For that, you need to have a concrete plan. Moreover, you need to know exactly how you can prevent them in the first place.

Here is how you can prevent a crisis in your stand displays for an upcoming exhibition.

Think of All the Threats

While planning for your exhibition stall, before you formulate your crisis management plan, you need to think about all threats and ways in which things can go wrong. Be it an injury or a booth element breaking or a crisis in the neighboring expo stands. 

Prepare a Crisis Management Plan

Having assessed all your threats, health and safety, environmental, or technological, you need to come up with a plan to prevent them. Or, worst-case scenario, deal with them if they occur. 

This will include ways to contain a situation, carry out any quick fixes, provide first aid, etc. 

At this stage, you must know the ins and outs of your booth.

Collect Contact Details of Staff

In case a situation arises wherein you are separated from your show booth staff, or you can’t reach them, you must have the means to be able to contact them. 

Before the exhibition, create a master document that contains all the contact information for all the staff that will be present at the event. It must also include the contact information for a few people from the company to let them know if anything goes wrong. 

Apart from the contact information, the document must also contain the flight/train and hotel details, and emergency contact numbers of the staff.

Share this document with all the staff members and ask them to keep this information on their phones in case they have to contact anyone. 

Check the Booth Elements and Equipment

It cannot be stressed enough how important it is to check your exhibition booth display elements and other equipment before the event begins. Especially when they are shipped to the venue and stored. 

There are chances that some element might be broken or the equipment/electrical devices may have been damaged or simply stopped working. 

This last-minute check ensures that at the event nothing falls apart or stops working. Moreover, it gives you time to fix the problem. 

Have Extra Equipment

Even though equipment breaks or doesn’t work, the show must go on. Your exhibition stand shouldn’t stop because of a new element going wrong. This is the reason  you need to have a backup.

While it’s not possible to have extras for big elements, you must try to have a backup for smaller things like electronics, banners, lightboxes etc. Moreover, for all your electrical devices it’s best to carry extra cables, chargers, devices, and so on. For bigger equipment, your must-have your I&D incident kit in the exhibition booth displays.

Have an I&D Kit in the Booth

As explained in the previous point, an I&D incident kit containing all the tools to fix the elements of your exhibition stall. These include cable ties, hot glue gun, masking tape, scissors, hook-and-loop fasteners, extension cords, sewing kit, screwdrivers, soldering gun, etc. Thus, in case of any breakage or cracks in the show booth, these things can help you quickly fix them

Have a First Aid Kit in the Booth

In case an attendee or your show booth staff gets injured, you must have the equipment to be able to treat them. For that, you need to have a first aid kit in your booth. Make sure the kit is stuck with common over-the-counter medicine adhesive bandages, scissors, dressing, gauze, nitrile gloves, antibacterial ointment, medical tape, antiseptic wipes, an instant cold compress, and a breathing barrier for performing CPR. 

Ensure that the staff knows how to use them in case of an emergency. These must be used as an immediate response to injuries until professional help arrives.
