Outdoor Exhibitions in India: How to Prepare

Agricultural, construction, automotive and defence shows in India frequently run on open ground or in temporary hangars — Helipad Ground in Gandhinagar being the obvious example, along with outdoor plots at several major venues. An indoor stand specification moved outside will fail, and it will usually fail on the first wet night. These are the differences that matter.

The ground is not a floor

Open-ground plots are rarely level and often not solid. Compacted earth, murram, gravel and patchy hardstanding all behave differently, and a structure set directly onto them will sit unevenly, rock under load and mark the surface. The first decision on any outdoor build is therefore the platform: a raised deck on adjustable feet or a levelled sub-frame that gives you a flat, dry surface to build on.

That platform does several jobs at once. It levels the plot, lifts everything clear of standing water, hides cable runs that cannot be taped to earth, and gives you something to fix into where the ground itself will not take a fixing. Specify a ramped edge on the entry side — on open ground the step is usually larger than indoors, and a ramp is both a safety requirement and the difference between a visitor stepping up and walking past.

Wind is a structural load

Indoors, a graphic wall is a surface. Outdoors it is a sail, and this is the single most underestimated difference. Any large vertical panel, banner, canopy or fascia has to be engineered against wind load and physically held down, because on open ground there is nothing to break the wind and gusts arrive without warning.

Where the ground can be penetrated, staking is effective; frequently it cannot, so ballast is the answer — weighted feet, water barrels, concrete blocks integrated into the plinth design so they read as part of the stand rather than as an afterthought. Fabric graphics should be tensioned and, on large panels, vented or perforated so wind passes through rather than pushing against them. This all belongs in the structural drawing you submit for approval, and organisers at outdoor venues do ask.

Plan for rain and for heat, sometimes the same week

Monsoon builds at outdoor venues mean unloading and assembling in rain. Untreated MDF swells, laminate lifts, and paper-based print media is ruined. Specify moisture-tolerant substrates — marine or treated ply, powder-coated metal, PVC-free weatherable fabric — and protected packing, and plan a covered or tented area for assembly work that cannot get wet.

Outside the monsoon, heat and sun are the problem. Direct sun on a dark graphic surface makes it uncomfortably hot to stand beside, screens become unreadable, and staff and visitors will not linger in an unshaded plot in the middle of the day. Shade is not decoration on an outdoor stand — a canopy, a tensile roof or a deep overhang is what makes the plot usable, and it should be planned as part of the structure rather than added as a parasol.

Power comes from a generator, and it has rules

Outdoor plots are usually served by organiser-supplied generator power, distributed through a temporary network, and it behaves differently from hall supply. Sanctioned loads are enforced strictly because the generator capacity is finite and shared, availability may be limited to specific hours during build-up rather than continuous, and voltage stability is not guaranteed.

Plan accordingly. Count the load carefully and sanction with headroom, since adding capacity on open ground is harder than indoors. Specify a UPS for anything that must not restart — a demo, a screen loop, a payment or registration terminal. Confirm whether power is available overnight, because if it is not, anything requiring refrigeration or a boot sequence needs a plan for each morning.

Dust, and what it does to a stand

Open ground in India generates dust continuously, and it settles on every horizontal surface, works into hinges and tracks, and dulls graphics within a day. Dark, glossy finishes show it worst; matte and mid-tone surfaces hide it. This is a specification decision, not a cleaning problem.

Build cleaning into the daily routine rather than treating it as an emergency — cloths, a small vacuum and fifteen minutes before doors open. Keep product and samples in closed display where possible, protect any sensitive equipment, and cover exposed surfaces overnight. On a multi-day outdoor show the stands that still look good on the last day are the ones where somebody was cleaning from the first.

Security overnight

Indoor halls are locked; open ground frequently is not, or is secured only at the perimeter. Anything valuable and portable — laptops, tablets, screens, samples, product — should leave the plot each evening or go into lockable storage that is genuinely secure rather than a cupboard with a token catch.

Ask the organiser what overnight security actually covers, and whether it includes the plot or only the site entrance. Where you are displaying heavy product that cannot be removed — machinery, vehicles — agree immobilisation and covering, and consider whether your insurance covers goods left on an outdoor site overnight, which is often a separate clause from goods at a venue.

Hangars, tenting and temporary structures

Many Indian outdoor shows are not truly open-air: the organiser erects temporary hangars or German-style tents over the ground and allocates plots inside them. This is a third condition, distinct from both a permanent hall and an open plot, and it has its own constraints that catch out exhibitors who prepared for one or the other.

You get a roof and usually a levelled or sheeted floor, which removes the ballast and rain problems. What you do not get is a structure you can attach anything to — rigging from a temporary roof is normally prohibited outright — and clear height is often lower than a permanent hall, sometimes with guy ropes, poles or trussing intruding into plots at the edges. Ask for the tent layout rather than only the plot dimensions, confirm the clear height at your position rather than the ridge height, and design anything tall as free-standing.
