Self-build is realistic up to about 18 sq m with a bought system kit and a shell-scheme or simple bare-space plot. Above that, approvals, labour and site rules make a contractor cheaper than the time it costs you.
Plenty of Indian exhibitors ask whether they can build the stand themselves, and the honest answer is that sometimes they can and it is a reasonable decision. What usually goes wrong is not the building — it is the approvals, the site rules, the labour and the hours of senior staff time that never appear in the comparison. Here is the realistic picture from someone who runs the site teams.
Where self-build genuinely works
A shell-scheme booth dressed by your own team is the clearest case. The organiser supplies the frame, the panels and the fascia; you add printed panel graphics, a counter, lighting and product. Two people can do it in an afternoon with a screwdriver and a cable tie, no structural approval is needed because you are not building anything, and the saving over a contractor upgrade is real.
The second case is a bought portable or pop-up system at 9 to 18 square metres — a fabric pop-up wall, banner stands, folding counters. These are engineered to be assembled without tools or trades, they travel as checked baggage or a small consignment, and going through a contractor for them adds cost without adding much. If your programme is regional roadshows and partner events, self-build is not just viable, it is the right answer.
Where it stops working
The line is roughly at bare-space builds above 18 square metres, and it is drawn by approvals rather than by carpentry. A bare-space plot at any major Indian venue needs dimensioned plans and elevations, an electrical load sheet, and — for anything double-decker, rigged or over the standard height — structural drawings stamped by a qualified engineer. Those submissions have a format, a deadline and a review cycle, and organisers reject incomplete ones.
The site rules compound it. Most venues require your build crew to hold build-up passes issued in advance against a submitted list, some mandate the organiser's appointed electrical contractor for the connection regardless of who built the stand, and several require safety compliance for anyone working at height. None of this is impossible to navigate; it is simply a project in itself, running in the fortnight before a show when your team is also preparing to sell.

The costs that never make it into the comparison
Self-build comparisons almost always price materials against a contractor's quote and stop there. The items that get left out are the ones that decide whether it was actually cheaper: local labour hired for build-up and dismantle at show-week rates, tools and consumables, transport both ways, storage between shows, and the replacement cost of whatever gets damaged because it was packed in blankets rather than cases.
Then there is the item nobody costs at all — your own people. A marketing manager and two staff spending two days on site building instead of preparing, plus the evenings, plus the dismantle, is easily forty person-hours at a cost that dwarfs the material saving. On the show days themselves they are tired, which is the expensive part, because the stand exists to be worked and day one is when the best visitors come.
If you are going to self-build, do it properly
Buy a system rather than making one. A proper modular kit — aluminium extrusion, standard panel widths, tension-fabric skins, a counter carcass — assembles predictably, packs into cases and survives being moved. Site-made plywood walls are heavier, harder to transport, look homemade under stand lighting and rarely survive a second outing intact.
Then run it like a project. Read the hall manual the day you book the plot. Submit drawings and the electrical load sheet against the organiser's deadline rather than the show date. Get build-up passes issued for named people. Do a dry assembly in your own space at least once before the show, because the problems always surface on the first build and you want them surfacing somewhere with time and a hardware shop nearby. Pack an on-site box: spare fixings, cable ties, a drill, extension leads, gaffer tape, a spirit level, cleaning cloths and a first-aid kit.
Book the labour rather than assuming it. During peak season, when several large shows fall in the same fortnight, experienced site crew in Mumbai, Delhi and Bengaluru is genuinely scarce and priced accordingly, and the people still available at short notice are the ones nobody else booked. If your plan depends on hiring two pairs of hands on the morning of build-up, it is not a plan.
The dismantle is the part people underestimate
Indian venues run tight teardown windows, commonly six to eight hours from show close, with penalties or forced removal beyond them. After three days of standing and selling, a self-build team facing a dismantle at eight in the evening is where most of the damage happens — panels stacked unprotected, fixings lost, fabric torn in the rush.
Plan the dismantle as deliberately as the build. Know the exact window, have cases and packing materials on site rather than in a van across the city, arrange transport for a confirmed slot rather than calling for it at closing, and if the team has worked the show, hire two people for the teardown. It is the cheapest insurance on the whole exercise.

Liability, insurance and who is responsible
The part of self-build that exhibitors think about least is who carries the risk. If your own staff are working at height, handling power tools or moving heavy panels inside a venue, you are the employer on site and the responsibility sits with you. Most Indian organisers require public liability cover from anyone building on a bare-space plot, and several require it before build-up passes are issued at all.
Check three things before deciding. Whether your existing insurance covers employees working off-premises at a venue. What cover the organiser mandates and in whose name it must be. And whether the venue restricts particular activities — ladder work, hot work, anything above a certain height — to accredited contractors regardless of who owns the stand. A contractor build folds all of this into the contract; a self-build leaves it with you, and it is worth knowing that before rather than after.
The hybrid option most exhibitors settle on
A middle path works well and is what a lot of Indian exhibitors end up doing. The contractor supplies and installs the structure — walls, graphics, lighting, electricals, approvals — and your team handles the dressing: product placement, samples, literature, the demo setup, the final look. You keep control of everything that reflects the brand and hand over everything that involves drawings, passes, ladders and liability.
The other hybrid worth knowing about is contractor-built, client-owned: you buy the modular kit outright, we store and maintain it, and each show is installation and graphics only. That gives you the cost curve of self-build from show two onward without any of the approval and site burden.
